General Regulations and Terms & Conditions for Exhibitors
Article 1. Name and Organizers
The name of the exhibition is Bharat Shiksha Expo 2026 (hereinafter referred to as the “exhibition”) and it is organized by India Exposition Mart Limited (IEML) (hereinafter referred to as the “organizer”) having its registered office at India Expo Centre & Mart, Plot No. 23–25 & 27–29, Knowledge IT Park II, Gautam Budh Nagar, Greater Noida – 201310, Uttar Pradesh, India.
Article 2. Location, dates and timings
The exhibition will be held at India Expo Centre & Mart, Plot No. 23–25 & 27–29, Knowledge IT Park II, Gautam Budh Nagar, Greater Noida – 201310 from 23rd to 25th April 2026 and will remain open to visitors from 10:00 hrs to 17:00 hrs on all exhibition days.
The organizer reserves the right to change the venue, dates or daily timings of the exhibition, suspend visitor entry for specific periods, or restrict access for security or operational reasons. The organizer also reserves the right to introduce an entry ticket, which may be required to be purchased by visitors or by exhibitors on behalf of their invited guests.
Article 3. Permitted categories of exhibitors, goods and services
To safeguard the specialist nature of the exhibition, only education‑related products, services and organizations as specified below shall be admitted.
Section 3.01 Permitted goods and services
The following broad categories will be eligible for display:
- Schools, colleges, universities and higher‑education institutions
- Coaching centres, test‑prep institutes, skill‑development and vocational training providers
- EdTech platforms, learning‑management systems, AI and digital learning tools, assessment solutions
- Study‑abroad and international education services, student counselling and career‑guidance services
- Publishers, books, e‑content, stationery, learning aids, classroom furniture and education infrastructure
- Training, certification, teacher‑training services, sports & physical‑education solutions and allied services
The organizer reserves the right to add, amend or delete any category of exhibits in part or in full at its sole discretion.
Section 3.02 Permitted exhibitor categories
The following categories may participate as exhibitors:
- Educational institutions, universities, boards, training institutes and academies
- Companies, start‑ups, NGOs, government bodies and associations offering products or services listed in Section 3.01
- Representatives, agents, distributors or franchise partners of education brands, subject to submission of authorization letters from the principals and disclosure of represented brands in the exhibitor directory entry form
Section 3.03 Permitted visitor categories
Entrance to the exhibition is primarily open to students, parents, educators, academic decision‑makers, investors, consultants, and other trade visitors connected with the education sector, as may be identified by the organizer. Entrance is by registration or invitation as decided by the organizer, which reserves the absolute right to admit or refuse entry to any visitor without assigning any reason; such decision shall be final and binding on all parties.
Article 4. Registration procedure, exhibition fees and allotment
Section 4.01 Registration procedure
To register as an exhibitor, the following must be submitted to the organizer by the last date mentioned in the exhibitor application form or official communication:
- Duly filled online application form available at the official website bharatshikshaexpo.com
- Acceptance of these general regulations and any technical regulations contained in the Exhibitor Manual
- Proof of payment of 25% of the total participation charges including applicable taxes as non‑refundable / adjustable application money, unless stated otherwise in the booking terms
The organizer reserves the right to modify the last date of submission or any other conditions at its discretion and such changes shall be notified through the official channels of the exhibition.
Section 4.02 Points to remember for registration
When submitting the application, exhibitors must note that:
- The organizer may reject any application that is incomplete, does not comply with Articles 3.01, 3.02 or 4.01, or is otherwise deemed unsuitable.
- Submission of the application form in any mode constitutes an irrevocable and binding undertaking to participate in the exhibition and to abide by all regulations issued by the organizer.
- Exhibitors shall display and promote only those products and services specified in their application form and permitted under Article 3; display and promotion must remain strictly within the allotted stand area.
- Display of second‑hand, refurbished or re‑conditioned goods or services is prohibited without prior written approval of the organizer.
- The organizer may seek additional documentation regarding the exhibitor, its products or services and may accept or reject any application at any time; its decision shall be final and binding.
- All staff of the exhibitor present at the venue must wear valid exhibitor badges issued by the organizer at all times during move‑in, show days and move‑out.
Failure to comply with these regulations may result in expulsion from the exhibition, closure of the stand, cancellation of allotment and forfeiture of all payments made, without prejudice to the organizer’s right to claim further damages, if any.
Section 4.03 Participation charges
Participation charges for built‑up stands, raw (bare) space, or any special packages will be as specified in the official exhibitor rate sheet, booking form or proposal shared by the organizer from time to time. These charges are exclusive of applicable taxes unless otherwise indicated.
Section 4.04 Premium location charges
- Premium charges, if any, for 2‑side open, 3‑side open or island booths shall be applicable as per the rate sheet and shall be levied only on stands finally allotted in such premium locations.
- Exhibitors requesting premium locations in the application form shall be considered subject to availability; such requests are indicative only and not binding on the organizer.
- If a premium location is allotted even without any prior request by the exhibitor, the exhibitor shall be liable to pay the applicable premium charges.
- Premium‑location or island‑booth charges will become payable after issuance of the allotment letter and must be settled within the timelines indicated therein.
Section 4.05 Allotment of spaces
- Applications received with the requisite application money will be processed on a first‑come‑first‑serve basis, subject to suitability of category, availability of space and compliance with these regulations.
- Where the requested space or configuration is not fully available, the organizer may offer an alternative; any excess amount paid, if not adjusted, shall be refunded without interest.
- The organizer reserves the right to allocate, re‑allocate or change the size, location or layout of any stand for technical, safety, commercial or organizational reasons; exhibitors shall not claim any compensation in such cases other than adjustment of differential space charges, if any.
Article 5. Payments
Section 5.01 Mode of payments
All the payments related to participation in the exhibition must be made in favour of the organizer as per the details mentioned in the invoice / communication. The primary bank account for Bharat Shiksha Expo 2026 exhibitor payments shall be as under:

Payments may be made via Online Payment Gateway / NEFT / RTGS / bank transfer / cheque or demand draft, subject to realization, clearly mentioning the exhibitor name, invoice number and stand details. Payment gateway or bank transaction charges, if any, shall be borne by the participant.
Section 5.02 Exhibitors must note the following
- No payment shall be deemed valid unless made directly to the organizer’s designated account or as per written instructions issued by the organizer.
- Proof of all payments (UTR, bank slip, acknowledgement) must be retained by the exhibitor and produced on demand.
- Any short payment, bank charges or deductions will be treated as balance outstanding and must be cleared by the exhibitor.
Section 5.03 Payment schedule
Unless otherwise specified in the booking terms or invoice, the following payment schedule shall apply to participation charges (space + premium charges + applicable taxes):
- 50% of total participation charges at the time of booking
- Remaining 50% on or before 1 April 2026 (i.e., balance due at least 22 days prior to the exhibition date)
- Any balance amount towards premium location, additional services or revisions within 7 days of issuance of the allotment / revised invoice
Exact due dates will be mentioned on the official communication / invoice and shall override the generic dates above.
Section 5.04 Proof of payment
To take possession of the stand at the venue, the exhibitor must produce proof of full payment of all dues including space charges, premium charges, taxes and service charges. Exhibitors who fail to provide such proof or have outstanding dues will not be allowed to occupy their stands and may forfeit their booking and payments.
Article 6. Cancellation and refund policy
In case of written cancellation by the exhibitor, the following refund schedule shall generally apply to the participation charges (excluding taxes and non‑refundable fees), unless otherwise notified in the booking terms:
- Cancellation up to 30 January 2026: 10% of the total participation charges shall be deducted; balance, if any, may be refunded or adjusted.
- Cancellation up to 15 February 2026: 25% of the total participation charges shall be deducted.
- Cancellation up to 15th March 2026: 50% of the total participation charges shall be deducted.
- For cancellation after 1 April 2026: No refund shall be made and the organizer may forfeit the entire amount paid.
The specific dates and percentages may be refined by the organizer in the exhibitor booking terms and will prevail over the above indicative schedule.
Article 7. Allocation of stands
Section 7.01 General
Acceptance of the application form and allocation of stands fall exclusively within the discretion of the organizer. Stands are allotted considering, among other factors:
- Compliance of application with these general regulations and payment of due amounts
- Date of receipt of completed application and application money
- Availability and technical feasibility of requested space and configuration
- Overall event zoning, product grouping and other organizational requirements
The organizer may modify the floor plan or layout of the exhibition at any time for technical, safety or commercial reasons.
Section 7.02 Exhibitor requests
Any request regarding specific hall, location, orientation, neighbours, or stand shape made in the application form shall be treated as a preference only and shall not be binding on the organizer. Exhibitor participation is not conditional upon fulfilment of such requests.
Section 7.03 Change in allocated space
For technical or organizational reasons, the organizer may at any time:
- Change the size or location of the stand allotted to an exhibitor
- Shift the exhibitor to another hall or area within the venue
- Modify entrances, exits or common areas affecting stand visibility
In such cases, the exhibitor shall have no right to any compensation, indirect loss or claim; only the differential space charges, if any, shall be adjusted where applicable.
Section 7.04 Larger booths and special areas
The organizer may create special zones, pavilions or larger booths for particular product categories, knowledge hubs or feature areas and may allocate such stands at its discretion as per the concept of Bharat Shiksha Expo 2026.
Section 7.05 No sharing or sub‑letting
Stands are allotted in the name of the exhibitor mentioned in the application form. Sub‑letting, sharing, licensing, transferring or in any manner allowing other companies or brands to exhibit from the same stand without written permission of the organizer is strictly prohibited. The organizer may cancel the allotment and remove such unauthorized displays.
Section 7.06 Complaints and disqualification
In case the organizer receives complaints regarding quality, delivery, misleading information or unethical practices by any exhibitor, it may examine the matter and take appropriate action. If the exhibitor is found at fault, the organizer may disqualify the exhibitor from current and/or future editions of the exhibition or other events organized by IEML.
Article 8. Data and communication
The exhibitor expressly authorizes the organizer to use and share the data provided by the exhibitor for the purposes described below, in compliance with applicable laws and the organizer’s privacy policy.
Section 8.01 Marketing and promotion
To third parties including subsidiaries, partners, consultants, service providers, media and PR agencies for the purpose of promoting the exhibition and the exhibitor’s participation through print, digital and social media.
Section 8.02 Research and analytics
To specialized agencies for conducting market research, analytics, surveys and measurement of visitor / exhibitor satisfaction.
Section 8.03 Visitor information
To potential visitors and exhibitors through catalogues, visitor guides, websites, apps and other communication materials of Bharat Shiksha Expo and other events organized or marketed by the organizer.
Section 8.04 Statutory requirements
To government departments, regulatory bodies or law‑enforcement agencies as may be required under applicable law.
Section 8.05 Catalogues and digital platforms
For dissemination of exhibitor details through the official show catalogue, mobile applications, websites, digital signage and any other print or electronic medium used by the organizer in the normal course of business.
Article 9. Force majeure
If the exhibition is postponed, curtailed, abandoned, cancelled or materially modified due to circumstances beyond the reasonable control of the organizer, it shall not be deemed to be in default and shall have no liability for any resulting loss or damage to exhibitors or any third party.
Such circumstances include, but are not limited to, acts of God, natural disasters, fire, flood, epidemic or pandemic, war, civil commotion, terrorism, strikes, government orders, changes in law or regulations, venue unavailability, or any other event that makes it impossible or impracticable to hold the exhibition in the planned format.
In such cases, the organizer shall have the right, at its sole discretion, to reschedule the event, adjust the format (including hybrid/virtual formats) or decide on partial or no refunds; exhibitors shall not be entitled to any compensation beyond such measures as the organizer may voluntarily offer. The decision and interpretation of the organizer’s Expo Committee on all such matters shall be final and binding on all applicants and participants.
Article 10. Governing law and dispute resolution
This agreement between the organizer and the exhibitor shall be governed by and construed in accordance with the laws of the Republic of India.
Any dispute, difference or claim arising out of or relating to exhibitor participation in Bharat Shiksha Expo 2026, which cannot be amicably resolved, shall be referred to arbitration in accordance with the applicable arbitration law in India. The venue (seat) of arbitration shall be New Delhi, and the language of arbitration shall be English.
Subject to the foregoing, the courts at New Delhi / Gautam Budh Nagar (as specified by the organizer in the contract or invoice) shall have exclusive jurisdiction over all matters arising out of or in connection with the exhibition.
